Email Templates

Businesses can set up email templates as they desire in the application. These are preset emails that users can define to standardize email communications with their customers. Both system-defined and user-defined templates are supported. Users can add and remove as many pre-defined templates as possible. System templates cannot be removed.

Email templates can be configured for:

  2. Jobs
  3. Procurement
  4. Opportunities
  5. Business Contacts
  6. Estimates
  7. Permissions
  8. Personal Event
  9. Quotes Payment
  10. PO Payments
  11. Action Items
  12. Quickbooks
  13. Dashboards

Jacktrade will continue to add modules to this list of Email Templates like Expenses, Timesheets, Proposals, Lead etc.

There are predefined templates and also users can define their own templates. Under each category, there are two types of templates – 

  1. Assignment Notifications – Assignment notifications are the email templates that are used to send out assignment notifications to the Customers and Resources. These templates are not editable to the business. The business can choose to either enable or disable these notifications. If the notifications are disabled, assignments happening to the customers and resources won’t send out email notifications.
  2. Templates In Functions – These are email templates that businesses can set in order to standardize the communication between the internal team and the customers and suppliers. Jacktrade provides pre-set templates which businesses can choose from or even add their own templates. Each template can be filled with the following information:
    1. Email Subject – Subject of the email. This field is limited to 32 characters, and is mandatory to be filled in.
    2. Top Header Text – a simple text that goes on the top header limitation to 50 characters.
    3. Bottom Footer Text – a simple text that goes on the top header with a character limitation to 50 characters.
    4. Email Body Content – body content can be filled as desired.

Adding Templates

Templates can be added here to standardize the communication across the business both internally and with external parties like customers and suppliers. Templates can be added for the following modules:

  1. Quotes
  2. Jobs
  3. Customers
  4. Procurement
  5. Business Contacts
  6. Opportunities

In order to add the template, you can click on the add button at the top right on ‘Email Templates’ and choose the function to which you want to add the template with the template name. Once you add the template name and assign it to a function, you can then add content inside the template including preset tokens like ‘First Name’, ‘Sales Agent Name’, etc.

 

Inserting Dynamic Data In An Email

Jacktrade supports adding dynamic data through key tokens to your email to personalize the experience and communications. For example, users can insert a key token called {customer_name}, which then dynamically inserts the full name of the customer in the email before sending it out to the email recipient.
